The purpose of the summary of this Privacy Notice (‘Privacy Notice’) is to briefly present how the Wigner Research Centre for Physics and SZTAKI process your personal data when you use the ELKH Cloud (‘Platform’) website (https://science-cloud.hu/). The Privacy Notice helps you better understand how we use your personal data and explains how we collect and handle it, and with whom we share it.

Joint Controllers

The joint controllers of your data in relation to your use of ELKH Cloud’s website (https://science-cloud.hu/) are Wigner Research Centre for Physics (seat: 1121 Budapest, Konkoly-Thege Miklós út 29-33, contact: info@science-cloud.hu – ‘Wigner’) and Institute for Computer Science and Control (seat: 1111 Budapest, Kende u. 13-17, contact: info@science-cloud.huSZTAKI’; Wigner and SZTAKI hereinafter together: ‘we’ or ‘us’).

Purposes and legal bases of data processing

We process your personal data for the following data processing purposes:

  1. User identification and user account management: Access to the Platform and management of the Platform's resources require identification. In connection with the use of the Platform, your EduID or your Academic Database ID is required for the implementation of and compliance with the terms of use of the Platform as contained in the contract. eduID is a service provided under the KIFÜ/NIIF Program.
  2. Management of projects and security settings: You can access the Platform according to the services of the ELKH Cloud website, where you can set up your own projects or participate in and manage invited projects, within this framework, you can use IT services up to the quota granted to you (e.g. you can create, start or stop virtual machines, take snapshots, configure and store and manage data within these virtual machines, set an external IP address, manage firewall rules, or set a username and password) which we will process in compliance with the terms of use of the Platform as a contract.
  3. Adding users: You can add or block users to your ongoing project which can be administered by you through the third-party Hexaa system or through a Wigner employee. The legal basis for processing the related personal data is compliance with the terms of use of the Platform as a contract.
  4. Presentation of projects: the ELKH Cloud website discloses to the public the projects managed using the Platform indicating the description of the projects and the names of the project managers for which we rely on our legitimate interest as a legal basis.
  5. Publications and credits: if you decide to use the services and resources of the Platform and write and publish a scientific article based on this and share the article and its reference parameters with us, we will then publish it on the ELKH Cloud website based on our existing legitimate interest.
  6. Detailed analysis of users' needs: we assess users’ needs and in which direction we should further develop the Platform and the ELKH Cloud website in a separate Google form, in relation to which our data processing is based on your consent.
  7. Contact and communication: the purpose of data processing is to handle your questions and inquiries received by us; the legal basis of processing for this purpose is our legitimate interest.
  8. Forum: processing your personal data related to using the public forum made available on the ELKH Cloud website is necessary for the implementation of and compliance with the terms of use of the Platform as a contract.

Who has access to your personal data?

Our staff may access your personal data on a need-to-know basis. We provide the Platform for a closed academic circle as a service for academic purposes, and we only provide the IT infrastructure and environment for managing virtual machines. We are not responsible for any data processing within virtual machines.

Our service provider and other third parties may access your personal data as data processors, and we may be required by courts, authorities, and other official bodies to provide your personal data.

Your rights

Among other rights, you have the right of access, the right to rectify and erase your data, and in some cases the right to object to data processing, and you also have the right to data portability.

If we process your personal data based on your consent, you can withdraw your consent at any time without giving a reason. However, the withdrawal of consent does not affect the lawfulness of data processing that was carried out before the withdrawal of consent.

You have the right to object to your data being processed by us at any time on grounds relating to your particular situation, in which case we must stop processing your personal data. If you have the right to object and the exercise of this right is justified, we will no longer process your personal data for the purposes of data processing affected by the objection.
